Executive Assistant/Administrative Superhero [United States]


 

This is an incredible opportunity that requires an extraordinarily talented individual. We need a thinker, a doer, a leader and a great support person all-in-one. So you must be a hybrid; great behind the scenes as an administrator but also great at engaging directly with clients, employees and vendors when necessary. You should be well versed and up-to-date on technology, office management software and the latest process efficiency apps. Having an in-depth knowledge of Social Media Marketing is a plus but a willingness to learn is a must.

We are a small company just past the startup phase and entering the growth phase rapidly. We have about 12 employees but that number is increasing weekly. We operate in the Business-to-Business service space as intermediaries. We market and sell to commercial clients only. Our clients are business owners, our customers are business investors. You must be organized but flexible and able to pivot or multi-task when needed.

This is a 100% remote position, but this is NOT a 9 to 5. We have staff meetings every day at 9:00 AM and 4:00 PM EST but we need someone who can be available whenever needed. We have clients from coast-to-cost and they often need our attention after normal business hours or on the weekends. If you have personal or family commitments that will not allow you to be available whenever needed please do not apply for this position.

Responsibilities:

  • Perform general administrative duties, including managing calendars, scheduling appointments, and coordinating meetings and events.
  • Maintain and organize physical and electronic documents, records, and files.
  • Prepare and proofread correspondence, reports, and presentations.
  • Answer and direct phone calls, take messages, and respond to inquiries.
  • Assist with travel arrangements and logistics for staff members.
  • Manage office supplies and inventory, and place orders as needed.
  • Perform bookkeeping tasks, including recording financial transactions, reconciling accounts, and preparing financial reports.
  • Assist in the hiring process, including posting job ads, screening resumes, and scheduling interviews.
  • Support the coordination of projects and initiatives, including tracking progress and deadlines.
  • Collaborate with internal teams and external stakeholders to ensure timely completion of tasks and deliverables.
  • Provide exceptional customer service and support to clients, partners, and team members.

Requirements:

  • Proven experience as an administrative assistant, administrative specialist, or in a similar role.
  • Strong bookkeeping skills and experience maintaining accurate financial records.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong attention to detail and accuracy in handling documents and data.
  • Proficient computer skills, including Google Suite (Drive, Docs, Sheets, Slides) and email management.
  • Outstanding written and verbal communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Strong problem-solving skills and the ability to adapt to changing priorities.
  • Discretion and professionalism when handling sensitive and confidential information.
  • High school diploma or equivalent; additional certifications or training in office administration and bookkeeping is a plus.

Job Type: Full-time

Pay: $60,000.00 - $70,000.00 per year
